How it works

Reach full sign-off in three steps.

1

Add the person

Add each covered person to the pre-clearance list with their membership date. Their unique link goes out by email.

2

Confirm and sign

From the link, each person confirms their details, accepts the statements, and signs by typing or drawing on any device.

3

Track who has signed

Your dashboard shows who has signed and who is outstanding. Reminders run on your cadence until everyone has signed.

Acknowledgments

Each person signs on joining and renews on your schedule.

Acknowledgment form in the portal

See what each person signs

Each person receives a unique emailed link, with no password and no account for your team to administer.

In the portal they confirm their details, accept two statements covering your policy and the privacy notice, and sign by typing or drawing.

Covered persons confirm their pre-clearance and blackout restrictions, while Section 16 persons also sign wording that names their duty to report.

Automatic reminders to outstanding covered persons

Remind anyone outstanding

Anyone outstanding is reminded automatically on your cadence, and their name stays on the list until they sign.

Your dashboard shows both lists, every open acknowledgment, and the next blackout period.

Each person is one profile however many lists they're on, with one activity stream that is kept if they leave and rejoin.

A renewal round with its due date and responses

Give each list its own schedule.

Set the interval per list to run a Section 16 roster and a pre-clearance list quarterly while a UK roster stays annual.

Open each round with a label and a due date. Failed email deliveries show as exceptions.

Each request ends as completed, exempt, no longer covered, or no response. When you close a round, you confirm the final counts before the rest are marked no response.

Policy wording versions locked for a round

Each round locks the policy version people sign.

Before the first email of each round, your policy wording is locked, so any later change shows.

Change the policy during a round to give future requests a new version. Requests already sent are not changed, and each signature names the version signed.

Before signing, each Section 16 person sees their related persons read-only. They confirm the list is current, or update it and return to sign.

Insider trading policy e-learning course

Train everyone on the policy they signed.

Assign an e-learning course on your insider trading policy by group, run it beside the acknowledgment, and track it to completion.

Assign by group

When someone joins a list, and again on each new policy version, the group's course is assigned automatically, so training follows the wording people sign.

See who has finished

See who has completed and who has not, per person and per group. Reminders run until the course is done.

Keep and export the evidence

A certificate for each completion is stored in the person's profile. Export completions, dates, and certificates when the audit asks.
